The business challenge
Care Masters was growing its programs, events and community reach, but program information, brand guidance and platform knowledge were distributed across different people and documents. Staff, students, volunteers and partners brought different levels of marketing experience, resulting in repeated revisions and frequent one-to-one guidance.
The organization needed more than additional content. It needed a connected marketing system that could support consistent execution, strengthen the participant experience and show leadership how people discovered and engaged with the organization.
What I recognized
The central problem was not effort; it was infrastructure. Important knowledge lived in individual people’s heads, while social media, email, SMS, WhatsApp, registration and reporting operated as separate activities.
Without shared standards, clear ownership and connected measurement, growth would create more work rather than a stronger system.
The strategic direction
I documented the brand and communications process, connected the primary audience channels and built a more measurable pathway from discovery to registration, participation, follow-up and continued community involvement.
The goal was to help contributors work more independently while giving leadership stronger visibility into marketing and program impact.
What I led
- Directed and coached a five-person marketing and creative team, establishing priorities, timelines, ownership and approval processes.
- Authored a Communications Manual, brand-voice standards, master content brief, review checklist, marketing glossary and reusable templates.
- Built Jotform-to-Mailchimp workflows incorporating registration, consent, segmentation, tagging, email and SMS communications, digital check-in, surveys and follow-up.
- Introduced discovery-source tracking and participant-funnel measurement to show how audiences found Care Masters and moved from community events into ongoing programs.
- Connected website, social media, email, SMS, WhatsApp and event communications into clearer program experiences.
- Established a monthly Marketing Impact Report using GA4, Metricool, Mailchimp, Jotform and direct community feedback to connect channel performance, registration attribution and the participant funnel to organizational goals and executive decision-making.
Operational proof
Making strong communication repeatable
I authored an Executive Director-approved Communications Manual so staff, students, volunteers, contractors and community partners could work from one shared standard. It brings together Care Masters’ voice, planning and review processes, accessibility and inclusion requirements, channel-specific guidance, roles and responsibilities, and standards for using AI responsibly. The manual reduces reliance on one-to-one instruction while helping every contributor communicate with greater clarity, warmth and consistency.

Turning monthly marketing performance into executive decision support
I established a monthly Marketing Impact Report that gives the Executive Director a clear, connected view of how marketing contributes to organizational goals. Each report brings together campaign, registration, website, social, email, search, audience-source and participant-funnel data to show what is driving registrations, where the audience is moving or dropping off, what needs improvement and where resources should be focused next. The June report shown here is one example: two programs met their registration goals, generating 58 registrations with $0 in advertising spend, while engagement grew 112% and social impressions increased 77.6%. Those results also surfaced the larger strategic insight that community trust and word of mouth—not paid media—were the strongest registration drivers.
The impact
What changed
Care Masters gained a repeatable communications, registration and monthly reporting system; clearer audience attribution; more consistent program promotion; faster onboarding for new contributors; and a team better equipped to create on-brand work without every decision depending on one person.
Since the system was implemented, staff have become more confident in the work they present, content is more consistently on-brand and fewer rounds of feedback are needed. That shift has changed the focus of my own role—from repeatedly correcting execution to leading higher-value work including reporting, analytics, workflow automation and strategic briefings with the Executive Director.
